The Project Coordinator will be the lead liaison between staff, clients, and principals for our creative projects. You should have education or training in project management or some project management experience, including informal. A basic understanding of web design and basic knowledge of graphic design best practices and processes would be a bonus and an asset in this role but is not a requirement.  You are someone who can ask the right questions, easily and comfortably chat with the client about their project goals, requirements, and budget, and translate that for our developers and designers using standard technical terms. You have great attention to detail, great scheduling abilities, are able to handle multiple projects and priorities at the same time and be comfortable with flexibility.

Position details

This position is a full-time, temporary position, filling in for parental leave with an approximate length of 18 months. Depending on the success of the chosen candidate during this period and business needs at the time this contract expires, there is potential for a transition to a full-time, permanent position with Design de Plume.

Reporting Structure

The project coordinator will be part of the Project Management team and will be supported and mentored collaboratively by the team.

The project coordinator will report directly to the Partner & Strategic Leader, Meggan Van Harten.

Work Hours & Location

The regularly scheduled hours for this role are 9 am to 4:30 pm, from Monday to Friday in the office, with the possibility of a hybrid work agreement upon completion of your training.


  • Collect and define project requirements, develop project briefings and statements of work
  • Manage project teams, freelancers, collect estimates, and provide project quotes
  • Provide end-to-end project management
  • Comfortable using project management software such as Scoro, Slack, Quickbooks, etc.
  • Work closely with design and development teams to translate business requirements into technical requirements
  • Communicate with the client through kick-off to project close
  • Create project plans, assign tasks, monitor and modify project schedules and manage resource plans
  • Create and send invoices
  • Schedule client-related meetings and calls
  • Assist in determining project fees for new business
  • Maintain document control, logs, task assignment lists
  • Develop and review project status reports
  • Handle client inquiries and assign related tasks to teams
  • Address client queries effectively and in a timely manner
  • Communicate regularly with remote colleagues
  • Actively participate and lead weekly staff and project meetings and creative-led conversations
  • Contribute to an environment that is clean, efficient, professional, proactive, and team-oriented
